How do we collect your information?

We only hold information about you where we have legitimate reason to do so. This reasoning has been set out as follows:

4. When we begin working with you. At the start of a project we will collect the relevant contact details of your team to ensure we can keep in communication with you. We will hold this data through the life cycle of the project or relationship as applicable, and this data will be updated by the client director or project manager throughout. Once this project or relationship has come to an end, we will then give you the opportunity to review the personally identifiable information, return it to you, or remove this from our records.

 

5. When we have sourced your details via LinkedIn Sales Navigator. We currently source names, job titles and company names via LinkedIn Sales Navigator. The purpose of LinkedIn Sales Navigator is to connect and build relationships with buyers and businesses and to engage buyers with personalised outreach in an efficient manner. We do not share these details with anyone outside of our organisation, except where you may be in direct communication with one of our third-party suppliers for a specific project, and this would be within the strict confines of that project contract. If a third party is processing personal data, where we are the data controller, then we will have a Data Processing Agreement in place.

Email marketing and messages

We operate an email marketing program which is used to inform you via email about products, services and/or news we supply/publish.

 

Email marketing messages may contain tracking beacons/tracked clickable links, or similar server technologies in order to track subscriber activity within email marketing messages. Where used, such marketing messages may record a range of data relating to engagement, geographic, demographics and already stored data.

 

Film and photographic content

We make films on behalf of our clients and ourselves. These films are bespoke commissions from legal entities and cover a wide range of topics linked to the business activities of companies and organisations globally. Our filming activity means that we regularly capture images and interview content of members of the public and employees of client organisations.

 

We archive shoot rushes for a minimum of two years (by default) to allow for changes to films based on client requests. We store completed programme masters indefinitely as our business archive/body of work. We have a legitimate business interest in processing this data. How do we store your data?

 

We store the information in a database in a secure environment at our data / hosting centre, based on the confidentiality classification of the information.

 

To comply with GDPR our CRM and third-party hosting service providers store your information on servers within the UK/EU. We have put in place technical and organisational security measures to prevent the loss or unauthorised access of your personal information. However, while we have used our best efforts to ensure the security of your data, please be aware that we cannot guarantee the security of information transmitted over the internet.

 

We will not share, sell, nor rent individual personal information without explicit permission or unless ordered by a court of law. Information submitted to us is only available to employees managing this information for purposes of contacting you or sending you publications or emails based on your requests for information.

 

Transfer of information outside of the UK/EEA

We adopt a Social Media Policy to ensure our business and our staff conduct themselves accordingly online.
